Definition & Best Practices In Purchase Order Management
A purchase order is a contract issued by a buyer to a seller specifying an item(s), or a service, quantity, unit price, date needed, and terms of invoicing and shipping.
Purchase orders may be issued in paper form or electronically; however, the contract is not binding until the seller has accepted the terms, whether verbally or in writing - via paper or electronically. A company controls its commitments to spend by assigning responsibility to an individual(s) to issue PO's. Most companies utilize an accounting type of software that includes the ordering and invoicing functions, from which many useful reports can be created to track commitments to purchase and sales.
Using A Purchase Order Log To Track Purchase Order Numbers
Tracking of Purchase Orders is an important function for every company - since the acquisition of goods and services is essential for a company to produce its end products or services. The simplest method of tracking can be done manually by entering the specific data into a log to include the PO# and date of issue, Requestor or Requisition # (authority to purchase), Vendor or Supplier, Part Number, Description, Due Date, and Date Received. The Payment Method can then be indicated with Date Paid, Check #, Cash or Credit Card, giving visibility to the status of all PO's in a snapshot.
